Here are few tips

1. Be prepared

Don’t forget the basics. Does the event have a schedule? Where will you park? Can you meet the event vendors in advance and answer any questions you have? How will you communicate with your team on the day of the event? Imagine yourself during the event, looking for someone to answer all your questions. Try to ask those questions in advance.

Have an evening on location with the event coordinator and vendors. Knowing how the pieces would come together let us bring the right equipment, get the right shots, and do it with limited time and budget.

2. Shoot first, ask questions later

No event is completely scripted, and not all the participants in an event will know the schedule or be on time. If things happen, shoot them. If the client decides they don’t want those shots in the video, they can tell you later.

Instruct your camera operators to “just shoot everything.” We would have missed many great moments if we had been too busy trying to figure out where everyone was and what was happening.

3. Documentary is balance

Spend 60 seconds setting up a shot for an impromptu speech, and you could miss the whole thing. But likewise, if you shoot the whole speech from the back of the room through a crowd of people, you don’t end up with much, either. Capturing live footage that’s aesthetically pleasing is a continuous balance that gets easier with practice.  If you have additional cameras, you can be in more places at once. Being able to communicate quickly with your camera operators, too, will help you get footage that cuts together well.

4. Sound is the story
Because audio recorders have gotten so much better and memory cards have gotten so much cheaper over the years, we usually record audio for the entire event. Just be sure to check on your recorder once in awhile. And keep it someplace where it’s not likely to be taken or lost.

For our event shoots with Newaukee, we usually set the whole video to music, to help convey the sense of energy and excitement at the event. Talk with your client beforehand about the mood and feel of the piece, so you can capture sound with this in mind.

 

5. Set the tone visually

Each event has its own feel. Some are planned, black-tie affairs that might not look good with lots of shaky handheld shots. Some, like  loud parties that shouldn’t be shot on a tripod all night. I always try to amplify the feeling of an event with my shot choices. Extending the event’s theme through the videography gives it a more polished feel and makes it more fun to watch.

Overall, each event and each video is different. The best event videos capture the energy of that event, amplify it, and give viewers a taste of what they missed.  As you’re shooting, remember these five points, have fun, and make a great video.
